Who this policy is from

Shri Ramdas Vyayam Mandir ("we", "us") runs the gym you train at. This policy explains what personal information we hold about members, staff and enquiries, why we hold it, who else sees it and what you can ask us to do about it.

Our software is provided by KayaCloud, which stores and processes this information on our instructions and does not use it for its own purposes.

What we collect

Only what running a gym membership actually needs:

• Identity and contact: name, mobile number, email, date of birth, gender, address and photograph.
• Membership and money: the plan bought, price, discounts, invoices, receipts, payment mode and outstanding dues. Invoices carry GST details where applicable.
• Entry and attendance: check-in and check-out times, and the fingerprint or face template ID and access-card number issued by the entry device. The device holds the biometric template; we store only the reference number it returns, never your fingerprint or face image.
• Health and safety: emergency contact, blood group and any health conditions you choose to tell us, so staff can respond in an emergency.
• Messages: the WhatsApp, SMS and email messages we send you, their delivery status, and your replies to them.
• Enquiries: the details of anyone who enquires about joining, and notes from follow-up calls.
• Technical: for staff logging in to the console, the sign-in time, browser and IP address, kept for security.

Why we use it

To register and manage your membership, take payments and issue invoices and receipts, let you into the gym, send you messages about your membership, keep you safe on the floor, and meet our tax and legal obligations.

We do not sell your information, and we do not use it for advertising by anyone else.

On what basis

We use your information because you asked us for a membership and to give you the service you paid for, because the law requires it (tax records), and — for offers and festival greetings — because you consented when you joined. You can withdraw that consent at any time; see the WhatsApp Messaging Policy.

Who else sees it

We share the minimum needed, and only with:

• WhatsApp / Meta Platforms — your mobile number and the contents of the message, so the message can be delivered to you.
• Payment providers — when you pay online, they handle your card or UPI details directly. We never see or store your card number or UPI PIN.
• Our software and hosting provider, KayaCloud, which keeps the system running.
• Our accountant and the tax authorities, for invoices and returns.
• Anyone else only where the law requires it, or with your consent.

How long we keep it

While you are a member, and afterwards as follows:

• Invoices, receipts and payment records: eight years, as Indian tax law requires.
• Membership and attendance records: up to three years after your membership ends, so we can settle any dispute and re-register you quickly if you return.
• Message logs: up to two years.
• Enquiries that never became memberships: up to one year.

How we protect it

Access to the console needs a password and is limited by role, so staff see only what their job needs. Traffic is encrypted in transit, stored credentials and access tokens are encrypted, and every change to a member record, payment or refund is written to an audit log.

Your rights

You can ask us to:

• show you the information we hold about you;
• correct anything that is wrong;
• delete your information — see the Data Deletion Instructions;
• stop sending you offers, by replying STOP to any message;
• withdraw a consent you gave us earlier.

Children

We register members under 18 only with a parent or guardian's consent, and the guardian's contact details are recorded with the membership.

Cookies

This site uses a small number of cookies, all of them necessary to keep you signed in and to protect forms. The Cookie Policy lists them.

Changes

If we change this policy we will publish the new version on this page and update the date shown at the top.
